Trade Show Electrical Terms, Conditions, and Process
A separate outlet must be ordered for each location where electrical service is required. A 500-watt receptacle is the minimum order for power/electricity. Standard wall and other permanent building utility outlets are not part of the booth space and may not be used by exhibitors unless electrical service has been ordered through Expo Event Productions.
Connections that require additional labor for installation & dismantle; equipment connections, cords run under carpet or to specific locations within the booth, repairs to exhibitor equipment, etc. that require additional labor will be charged accordingly on a time & material basis. All wiring & other electrical equipment must meet all applicable codes.
Local codes allow no more than two connections per outlet box for lighting service and one connection for power/appliance outlets.
For a dedicated circuit, order a 20-amp outlet. No credits will be issued for any electrical service installed as ordered and not used. Expo Event Productions is not responsible for voltage fluctuation or power failure due to temporary or unforeseen conditions. For your protection, you should install a surge protector on your equipment.
Labor rates are based on current wage scales and are subject to change. A minimum of one (1) hour labor will apply for installation work. The removal of this work is charged at a ½-hour minimum or ½ of the installation charge.
Expo Event Productions employees are authorized to cut floor coverings when necessary for installation of services unless otherwise directed.
All material and equipment furnished by Expo Event Productions is provided on a rental basis, remains the property of Expo Event Productions, and shall be removed only by Expo Event Productions employees or another authorized representative unless extenuating circumstances permit.
All equipment, regardless of source of power, must comply with Federal, State, and local codes. Expo Event Productions reserves the right to inspect all electrical devices and connections to ensure compliance with all codes, for which labor charges may be incurred. Expo Event Productions is required to refuse connections where the exhibitor wiring or equipment is not in accordance with electrical codes. All electrical equipment must be properly tagged and wired with complete information as to type of current, voltage, phase, cycle, horsepower, etc., required for operation.
Credits will not be given for service(s) installed and not used.
Exhibitor holds Expo Event Productions harmless for any and all losses of power beyond control, including but not limited to Utility Outage/Company Failure, Permanent Power Distribution Failure, power failure due to nature, power failure caused by vandalism, faulty exhibitor equipment, or overloads caused by the exhibitor.
It is agreed that in the event it becomes necessary to turn matters over to an attorney for collections, or to file a lien, or foreclosure, or otherwise, exhibitor will pay Expo Event Productions' attorney fees or applicable agency fees.
A service charge of 1.5% per month on any unpaid balances will be assessed starting 10 business days after the date of the invoice.
Any on-site order will be subject to a $112 fee in addition to materials cost.
A 5% handling fee will be assessed for all refunds.
A cancellation fee of 25% will be charged for any cancellation five (5) or more business days prior to exhibitor move-in. Cancellations within five (5) business days of exhibitor move-in will incur a 50% cancellation fee.
“24-Hour” Power Service electricity will be turned on within 30 minutes of show opening and within 30 minutes of the show closing; show days only. See Venue Rules and Regulations for full list of operating procedures and times.
Expo Event Productions employees will be on site to perform random audits. If the power usage exceeds the amount ordered, exhibitor will be billed accordingly.
Additional Provisions:

Indemnification: Exhibitor agrees to indemnify, defend, and hold harmless Expo Event Productions, its officers, employees, and agents from any claims, damages, or liabilities arising from the exhibitor’s use of electrical services, including but not limited to personal injury, property damage, or code violations, except where such claims arise from the gross negligence or willful misconduct of Expo Event Productions.

Governing Law and Venue: This agreement shall be governed by and construed in accordance with the laws of the state in which the event is held. Any disputes arising under this agreement shall be resolved in the state or federal courts located in the county where the event takes place, and exhibitor consents to the jurisdiction of such courts.

Severability: If any provision of these terms and conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

Entire Agreement: These terms and conditions constitute the entire agreement between Expo Event Productions and the exhibitor regarding the provision of electrical services and supersede any prior agreements or understandings, whether written or oral.

Compliance with Venue Rules: Exhibitor agrees to comply with all venue-specific electrical and safety regulations, as well as any additional requirements imposed by Expo Event Productions to ensure safe and compliant operations.

Late Payment Penalties: In addition to the 1.5% monthly service charge, Expo Event Productions reserves the right to suspend or terminate services for accounts with overdue balances exceeding 30 days, with prior written notice to the exhibitor.

Force Majeure: Expo Event Productions shall not be liable for failure to perform its obligations under these terms due to events beyond its reasonable control, including but not limited to natural disasters, strikes, governmental actions, or pandemics.
